Privacy Policy

This Privacy Policy describes how Clover Airsoft, LLC handles information processed through the Clover Business Data Hub, a private internal application connected to Clover Airsoft's own QuickBooks Online company.
Information processed
The application may retrieve accounting reports and related business information from QuickBooks Online, including income, expenses, cost of goods sold, assets, liabilities, cash-flow information, inventory balances, account names, transaction categories, and reconciliation information. The application is designed for summary reporting and does not intentionally retrieve payroll data, payment credentials, or customer identity records.
Purpose
Information is used to reconcile business activity, estimate monthly profitability, monitor cash and inventory health, identify accounting exceptions, and populate Clover Airsoft's internal business tracker.
Storage and service providers
Application credentials are stored using Google Cloud Secret Manager. Authorized results may be processed and stored in restricted Google Apps Script, Google Sheets, and Google Drive resources. Clover Airsoft may use OpenAI services for owner-authorized analysis of aggregated business information. Credentials, payment information, and customer personal information are not intentionally provided to OpenAI.
Sharing and sale
Clover Airsoft does not sell QuickBooks information. Information is disclosed only to service providers needed to operate the application, to authorized Clover Airsoft personnel, or when legally required.
Security
Reasonable safeguards include encrypted HTTPS connections, multi-factor authentication, restricted account access, managed secret storage, logging, and access reviews. No method of storage or transmission can be guaranteed completely secure.
Retention and deletion
Monthly accounting summaries may be retained as business and tax records. Temporary API responses and diagnostic information are retained only as reasonably necessary for reconciliation and troubleshooting. QuickBooks authorization credentials are revoked or deleted when access is disconnected or no longer required.
Access and disconnection
Because this is an internal application, requests concerning its data are handled by Clover Airsoft, LLC. QuickBooks access can be revoked through the connected-app settings in QuickBooks Online or by contacting Clover Airsoft.
